Our approach
Working with you to ensure a smooth implementation
Our approach is based on the following 10 stages:
1. Business process mapping. We’ll start by discussing with you precisely which business processes and issues you’d like your new system to address and facilitate, and identify who the key users will be.
2. Project planning meeting. The objective of this stage is to review all aspects of the implementation, including the project scope, budgets and timescales, key milestones, key resources, reporting and control, change management and any potential risks that may affect the project. Having completed this process a comprehensive project plan and supporting documentation is produced which is updated by the project managers throughout the implementation.
3. Test configuration. Having obtained a clear understanding of the core business processes from the ‘business process mapping’ exercise, we’ll then build a pilot test system. This build provides a test environment in which key users can process transactions to ensure that the expected results are achieved.
4. Pilot user training. To facilitate the above process, we’ll provide in depth software training to equip key users with the skills they need to test and process trial transactions using the pilot system.
5. Data Import. It’s always useful to use as much of your own data as possible when testing the system. We’ll help you to import a sample of your current data for the pilot run and following the test, we’ll help you to transfer your remaining data, so that’s it’s there and ready to use when your new system goes live.
6. Staff training. We’ll agree with you during the planning stage as to the best route to provide training to users. From our experience, we’ve found that most companies prefer to train key users who then pass on the knowledge to other staff.
7. Rehearsals / Parallel Run. We recommend a final rehearsal process before the system goes live. This will allow you to take a typical day's data and enter this into the new system, covering every aspect of your business process on a controlled basis. Once we have agreed with you that you are happy with the outcome of the rehearsal or parallel run you will be able to move towards live operation.
8. Go Live Assistance and First Month End. Our personnel will be available on site for the initial period of live running and for the first month-end to assist with any timely procedures following installation.
9. General Consultancy. This service is provided to address the many ad-hoc requirements that are typically required during any systems implementation, for example client-specific report writing.
10. Account Management and Development. Once your system has been implemented our work with you doesn’t end here. We’ll keep you up to date with latest industry advances, new products and opportunities to enhance your system.
